The Let Go Room respects your privacy and is committed to protecting your personal information. This Privacy Policy explains how we collect, use, store and disclose personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles. By accessing our website, purchasing digital products or booking services with us, you consent to the handling of your personal information as described in this policy.

1. Who we are

The Let Go Room provides meditation recordings, digital resources, mentoring and wellbeing-focused services intended to support relaxation, self-reflection and personal growth. Our services are intended for adults; we do not knowingly provide services to or collect information from minors.

We do not require sensitive health information as a condition of using our general services. Where you choose to share health, wellbeing or personal circumstances with us voluntarily (for example, in a mentoring intake form, a personalised meditation questionnaire or an email) we only use that information for the purpose you shared it for.

2A. Sensitive information

Some of the information you share with us (for example, in an enquiry, mentoring intake or a personalised meditation questionnaire) may include what's classified as "sensitive information" under the Australian Privacy Principles, such as references to your health, wellbeing or personal circumstances.

We only collect sensitive information where you choose to provide it to us voluntarily and we only use it for the specific purpose you provided it for (such as tailoring a personalised meditation or supporting a mentoring session). We do not use sensitive information for marketing purposes and we do not share it with third parties except where necessary to deliver the service you've requested or where required by law.

If you'd prefer not to share personal or health-related details with us, you're welcome to keep your responses general. We're always happy to work with whatever level of detail you're comfortable providing.

3. How we collect personal information

We collect personal information when you:

  • Make a purchase through our online store

  • Book a service or appointment

  • Subscribe to our mailing list

  • Complete an intake questionnaire (for example, for mentoring or a personalised meditation)

  • Contact us via email or website forms

  • Attend a session with us via video call (see Section 3A)

  • Interact with our website or services

Information is collected directly from you or through our service providers.

3A. Video call sessions

Some of our sessions (including free chats and mentoring sessions) take place via Zoom. We don't record these sessions by default. If we'd like to record a session (for example, so we can refer back to it later) we'll always ask first and it's entirely your choice.

Where a session is recorded with your consent, the recording is stored securely and used only to support the service we're providing to you.

4. How we use your personal information

We use your personal information to:

  • Deliver digital products and services

  • Process payments and bookings

  • Communicate with you about purchases or appointments

  • Provide customer support

  • Design and deliver personalised meditations and mentoring sessions based on information you provide

  • Send optional marketing communications (where consent has been given)

  • Comply with legal and accounting obligations

We do not use your information for automated decision-making or profiling.

5. Disclosure of personal information

We do not sell or rent your personal information.

Your information may be shared only with trusted third-party service providers where necessary, including:

  • Squarespace (website hosting, online forms, checkout and payments)

  • Stripe (payment processing) — we do not directly collect or store your card details; these are handled entirely by Stripe via Squarespace

  • Acuity Scheduling (bookings)

  • Google (email hosting)

  • Xero (accounting) — limited to information needed for invoicing and financial records

  • Zoom (video sessions, where applicable)

These providers handle your information in accordance with their own privacy policies and applicable laws.

We may also disclose personal information if required by law.

5A. Overseas disclosure

Some of the third-party service providers we use (including Squarespace, Stripe, Zoom and Google) store or process information on servers located outside Australia, primarily in the United States.

This means your personal information may be transferred to and held in countries outside Australia. Where this occurs, we take reasonable steps to ensure these providers handle your information in a manner consistent with the Australian Privacy Principles, including relying on their own published privacy and security practices. We encourage you to review the privacy policies of these providers if you'd like more detail on how they specifically handle data.

6. Storage and security of information

We take reasonable steps to protect your personal information from misuse, loss, unauthorised access or disclosure.

Personal information is stored using secure systems provided by our website, payment, scheduling and communication platforms. While we take reasonable precautions, no method of transmission or storage is completely secure.

7. How long we keep your information

We retain personal information for as long as it serves a purpose connected to our services including maintaining our relationship with clients who may return for further sessions, mentoring or personalised meditations.

Where information no longer serves such a purpose or where you ask us to delete it, we will take reasonable steps to delete or de-identify it except where we are required by law to retain it. For example, financial records connected to your purchases are retained for at least 5 years in line with Australian tax law, even if you request deletion of your broader file.

If you unsubscribe from our mailing list, we retain a minimal record of your email address to ensure we don't contact you again, unless you separately request full deletion of your information.

8. Accessing and correcting your information

You may request access to the personal information we hold about you or request that it be corrected if inaccurate.

You may also request deletion of your personal information at any time. Where possible, we will delete or anonymise your data promptly, except where we are legally required to retain records for tax, accounting or compliance purposes (see Section 7).
